Transfers, templates and scheduled transfers
Send free SEPA transfers straight from Accountix, save recipients as templates, schedule one-off or recurring transfers, and trace every transfer in the ledger.
What the Payments page does
The Payments page (main menu, item 05) brings everything about your bank accounts together:
- Transactions: the account activity of the selected account with automatic invoice matching, tags and tag rules (as before).
- Transfers: every transfer initiated from Accountix - typed in, from an incoming invoice, as a batch or from a schedule - with the bank's verdict.
- Scheduled: transfers that become due on a date or at regular intervals. Accountix reminds you and you release them with one click.
- Templates: saved recipients with an optional default amount and purpose.
Four tiles at the top show the current balance of the selected account, the number and sum of transfers due, the volume transferred in the last 30 days, and the next scheduled transfer.
You need an account connected via FinTS (see Bank accounts). Transfers are reserved for administrators and only possible in a signed-in session - not through an API key.
New transfer
Click New transfer and fill in the form:
- Template (optional): a saved template fills recipient, IBAN, BIC, amount and purpose at once.
- Recipient and IBAN: the IBAN check digit is validated as you type. For a German IBAN Accountix shows the bank's name and fills in the BIC automatically - the BIC is optional for SEPA transfers anyway.
- Amount: in euro, either "1.250,00" or "1250.00".
- Purpose: up to 140 characters. Umlauts and special characters are translated into the SEPA character set ("Miete März" becomes "Miete Maerz"), so the text reaches the bank exactly as it will later appear on the statement.
- Execution: Now, On a date or Recurring (see below).
- From account: Accountix preselects the active company's current account and fetches the live balance from the bank. If it does not cover the amount, the form warns you.
- TAN method: your usual approval method, for example the SecureGo app.
- Instant transfer: optionally as SEPA Instant. The money reaches the recipient within seconds and cannot be recalled. If your bank does not offer instant transfers via FinTS, Accountix says so and you resend without instant.
- Save as template: creates a template when sending.
Continue to review shows everything at a glance - recipient, IBAN, amount in large type, purpose, account and balance. Only Release transfer sends the order to the bank.
Approval at the bank
The bank requires your confirmation for every transfer (strong customer authentication under PSD2). Depending on the method a TAN prompt appears, or Accountix waits until you have approved the order in your banking app. If the bank checks the recipient name (Verification of Payee) and it does not exactly match the account holder, Accountix shows the bank's verdict and you decide whether to transfer anyway. A mismatching name is a typical fraud pattern - double-check the IBAN in that case.
After the approval Accountix shows the bank's status. Only an unambiguous "Successful" means the order was accepted; anything else is listed with the bank's message under Transfers.
Example: you transfer EUR 1,250.00 to "Vermietung Musterstrasse GmbH", purpose "Miete Buero Oktober", from SKE's current account. After "Release transfer" you confirm in the SecureGo app; a few seconds later the transfer shows as "Successful" in the list.
Templates
Under Templates you save recipients you pay regularly: name, IBAN, BIC, optionally a default amount, a purpose and the account you usually pay from. A template belongs to the active company or - with the "All companies" checkbox - to every company of the tenant.
- Transfer opens the transfer form with every field prefilled; amount and purpose can be adjusted before sending.
- Schedule creates a scheduled transfer from the template.
- From the Transfers list any executed transfer can be saved with As template.
Accountix counts how often a template is used and sorts the recently used ones to the top.
Example: template "Tax advisor" with IBAN, purpose "Honorar" and no fixed amount. For the monthly fee you pick the template, enter the amount from the invoice and release.
Scheduled transfers
A scheduled transfer is not executed immediately but becomes due on a date - once or regularly (weekly, monthly, quarterly, yearly), optionally with an end date.
Good to know: Accountix does not execute scheduled transfers on its own. Your bank requires your personal approval for every transfer, and no program can give that approval for you. So Accountix reminds you in time and you release with one click:
- A few days before the date (configurable, default 3 days) and on the due date every administrator of the tenant receives an email listing the upcoming transfers - once per due date, no daily nagging.
- On the overview the Scheduled transfers tile shows the next dates; due rows are highlighted.
- In Payments the Transfers due tile turns amber and the Scheduled tab carries the number of due transfers.
Execute now opens the release dialog: account and balance, TAN method, then the usual path through the bank. After a successful execution a recurring transfer moves to its next date automatically; a one-off is done.
Further actions per row: Skip (recurring only: the current date is dropped, the next one stays), Pause and Resume, Edit, Delete.
For monthly and longer intervals Accountix remembers the original day: a transfer "on the 31st" runs on the 28th in February and on the 31st again in March.
Example: office rent EUR 1,250.00, "Recurring", monthly, first execution on 1 Oct 2026. The reminder arrives on 28 Sep; on 1 Oct the row sits at the top as "due". You click "Execute now", confirm in the app - and the next date is 1 Nov.
The Transfers list
Every transfer initiated from Accountix appears here with date, recipient, purpose, amount, status and source:
| Status | Meaning |
|---|---|
| Successful | The bank accepted the order. |
| Declined | The bank did not execute the order; the bank's message is shown under the purpose. |
| Aborted | The process was not completed (dialog closed or expired). |
| In progress | The approval is running right now. |
The source shows where the transfer came from: Free, Invoice (with a link to the incoming invoice), Batch (batch transfer from incoming invoices) or Scheduled. Transfer again turns a row into the starting point for a new transfer.
Security
- Transfers, approvals and executing scheduled transfers are reserved for administrators and only possible in a signed-in session. An API key cannot move money.
- Every transfer is recorded in the audit log with initiator, result and time.
- IBAN check digit, amount limits and the SEPA character set are validated on the server as well.
- TAN entries are neither stored nor logged.
